What we built for a solo beauty professional (and how it handles her bookings while she sleeps)

The brief was simple enough: stop losing bookings to the back-and-forth.

A solo beauty professional was taking appointments the way most do. A customer messages asking about availability. You reply when you can. They say that time doesn't work. You suggest another. They go quiet. By the time they come back, they've booked somewhere else.

She needed something that could handle the conversation for her. Not a booking form. A system that could answer questions, check the calendar, confirm a slot, send a reminder, and manage cancellations. From inside a chat window, 24 hours a day.

What we built

The booking system runs directly on her Google Calendar. When a customer wants to book, they open the chat widget on her page, choose a treatment, and the system checks live availability and offers real slots. The customer picks a time, confirms, and gets a booking confirmation by email. Instantly.

Behind that, several workflows run quietly. The calendar gets updated. A reminder goes out 24 hours before the appointment. If the customer needs to cancel, the slot opens back up. If she needs to cancel, the customer gets notified and offered alternatives.

She sees everything in Google Calendar. No new system to learn.

The thing that makes it work

The chatbot is trained on her specific business. Her treatments. Her prices. Her booking rules. Her voice. When a customer asks about a particular treatment, it answers accurately. When they ask how long something takes, it knows.

This isn't a generic chatbot pointed at a webpage. It's a system that understands the business well enough to represent it.

Most booking automations fall apart on the edge cases. What if the customer asks something the form didn't expect? What if they want to change their mind halfway through?
